A complete ordering and operations system for a Perth produce wholesaler: a portal for venues to order, and one back office for sales, stock, deliveries and invoicing.
About the client
Swan Foods is a Perth wholesale fruit and vegetable supplier. It buys at market every morning for cafés, restaurants, hotels, grocers and caterers, and delivers Monday to Saturday across the Perth metro.
The Challenge
- Venues needed a simple way to order after service, by a 9pm cut-off, at the prices quoted to them.
- The team needed sales, orders, stock, deliveries and invoicing managed in one system.
- Each venue's orders, prices and invoices had to stay private to that venue.
What We Did
- Built a client portal where approved venues order from their own price list, repeat standing orders, and see their orders and invoices.
- Built a back office for staff covering orders, delivery run sheets, stock receiving and stocktakes, price lists, customers, invoicing and payments.
- Enforced the 9pm cut-off and each venue's pricing on the server, so an order form cannot change a price.
- Connected invoicing to Xero, and gave the owner a phone app showing sales, money owed and stock at a glance.
- Designed and built a fast public website for trade enquiries and new account applications.
